Privacy Policy

Your migration and study circumstances can be personal. This draft explains the information connected with this website, how it may be handled and how to raise a privacy concern.

Prepared for review: 18 October 2026

Before publication

Pre-launch draft — not yet an effective policy. This document is an informational draft, not legal advice. Business approval and review by a qualified legal professional are required before publication.

  • Confirm whether business email uses Google Workspace or forwarding, and identify the providers used for client records and the linked visitor-registration form.
  • Confirm retention and disposal practices, overseas processing countries and the privacy obligations that apply to the business.
  • Check the collection notices and consent process used when receiving sensitive information or information about children.

01Who we are and how to contact us

In this document, “we”, “us” and “our” refer to iExcel Group, an Australian business operating in Melbourne. It covers personal information connected with this website and associated enquiries and bookings. A separate professional engagement may involve additional information, notices and recordkeeping obligations.

For privacy questions, access or correction requests, or a privacy complaint, email info@iexcelgroup.com.au. You can also contact our Melbourne office using the details below.

The application of the Privacy Act 1988 (Cth) and Australian Privacy Principles to the business must be confirmed as part of the pre-launch review. This draft does not assert a compliance certification or limit any rights or duties that apply by law.

02Information connected with the website

The Victoria VPT page displays separate site-wide saved-profile totals for subclasses 190 and 491, using retained profiles with the current public-aggregate consent. Each profile is counted under its selected subclass, not both. The totals include planning profiles and reported ROIs, including profiles not current or complete enough for comparisons. They exclude expired records and earlier private-only permissions. They are not counts of verified people or official applications. These participation totals are separate from the minimum-sample protections applied to comparative groups and score bands.

You can read the public website without creating a client account. The current public website does not provide client-document uploads. Information involved depends on how you interact with us.

Check Your Points processes your selected occupation, age or age band, English level, work, study, qualification and partner categories in the current browser tab. The state tools also process the residence, earnings-band, business, investment, job-offer and family categories you select. Calculating alone does not save a profile on our server. The public Victoria community snapshot sends the selected subclass, stage and occupation, and a complete hypothetical score and relevant English and experience categories when available, to the server for comparison processing. These comparison inputs are not stored as a profile or added to the counts. Technical request logs may still be retained as described below. Contact details are not required. Switching tools keeps answers in the current tab; closing or reloading clears unsaved answers. Printing or downloading creates a copy on your device; keep it secure.

If you choose Save my profile in Victoria VPT and accept its required collection notice, your answers, nominated occupation, subclass, broad location, program year, server-calculated score, calculation history and reported progress are stored on the website server. Authorised iExcel staff can access them for profile review and service administration. Saving or updating requires inclusion in anonymous public community comparisons; there is no private-only saving option. The public snapshot shows anonymous totals and broad score bands. Small groups and score cells, including complementary cells that could reveal a small group by subtraction, are withheld. Individual records, references, credentials, event histories and exact personal ranks are not public. Any profile retained under an earlier private-only notice cannot be added without its holder accepting the required notice when saving a fresh calculation. Saving is optional: you can calculate and view public comparisons without saving. No name, email, telephone number or full date of birth is requested by this feature.

New saved Victoria profiles use a four-digit PIN and a password of at least eight characters, separate from administrator sign-in. The same combination can be used on another device without entering a profile reference. Credentials are verified using a salted hash of the combination and a server-keyed lookup; raw PINs and passwords are not stored. Recovery codes and browser access tokens are stored as hashes. Older profiles retain reference-and-phrase access until their owner switches or uses recovery. Keep all access details and recovery files private and do not send them to us. These credentials protect a profile but do not establish a verified real-world identity.

Earlier website-planning records are no longer accessible through the website. Existing records remain subject to the consent permissions and retention limits that applied when they were collected, including their existing expiry dates. For access or deletion requests, contact info@iexcelgroup.com.au. This does not change the handling of separate professional client files.

  • Enquiries: your name, contact details, correspondence and the circumstances you choose to provide by phone, email, SMS or messaging services.
  • Appointments and registration: details entered into the external booking service. The linked visitor-registration form asks for name, date of birth, contact details, Australian address, visa type and expiry, marital status and children, Australian study history, English-test results, NAATI and skills-assessment information. Only some fields are compulsory; review the form before submitting.
  • Technical information: hosting and service providers may process IP addresses, browser or device details, requested pages, request times and error or security information to deliver and protect the website.
  • Private administration: authorised staff sign-in can involve account identity, email, authentication/session information and website-update review records. This is separate from browsing the public site.
  • Public reviews: the website displays review information supplied by Google, including reviewer display names, ratings, comments and, where available, profile images. A public review is not a private client file.

03Why information is used

Information may be used to respond to an enquiry, arrange an appointment, understand a requested service, communicate with you, administer an agreed engagement, maintain relevant records, and meet applicable professional or legal obligations.

Technical information may be used for service delivery, troubleshooting, security and preventing misuse. If optional marketing is offered, its purpose and any choices should be explained separately. You can ask us to stop optional marketing communications.

A website visit, booking or acceptance of website terms is not blanket consent to unrelated uses of information. Where consent is required, including for sensitive information where applicable, it must be sought through an appropriate collection process.

04Sensitive information and information about children

Migration matters may involve health, character, family or other sensitive information. Please do not send passports, medical or police records, financial-account details or other sensitive documents through social-media messages or an ordinary initial enquiry. Ask the team how relevant documents should be supplied.

If you enquire for a child or another person, tell us your relationship and authority to act. We may need to verify that authority and obtain appropriate consent. The website is not an unsupervised document-submission service for children.

Only provide information relevant to your enquiry or agreed service. If you prefer not to provide requested information, ask what alternatives are available and whether this affects our ability to assist.

05Website services and external platforms

The following services are identifiable in the current website. Providers may receive information directly from your browser or when you choose to use their services. Their privacy notices describe their own handling practices; they do not replace our responsibilities for information we handle.

  • Replit — website hosting and supporting infrastructure. Requests to the website involve the hosting service and may generate operational and security logs.
  • Clerk — sign-in and session services for authorised private administration only. Optional saved Victoria VPT profiles use separate reference-and-access-phrase credentials, not Clerk or email-code verification. Visitors can browse and calculate without an account.
  • Google — fonts, public Google review data and some review images. Fonts and external images can cause your browser to contact Google when a page loads. Review data is also requested by the website server. The business has advised that its email is linked to Google; the exact email service and configuration remain to be confirmed.
  • Calendly — the external appointment-booking platform. Information entered into its booking pages is handled through that platform and shared as needed to arrange the appointment.
  • WhatsApp and Facebook (Meta), and TikTok — optional messaging or social-media destinations. Following these links or communicating there brings their own services and privacy practices into use.
  • Zoom — a possible platform for an agreed remote appointment, rather than a requirement for browsing this website.
  • Visitor registration — the booking process links to iexcelgroup.net/visitor-registration. The underlying form, email and record-storage providers have not yet been confirmed for this draft and must be checked before publication.

06Disclosure and overseas processing

Information may need to be shared with service providers supporting our work, a person you authorise, or an authority where required or permitted by law. A professional engagement may require disclosure to the Department of Home Affairs, a tribunal, a skills-assessing authority, an education provider or another relevant recipient, depending on the matter and your instructions.

Cloud, communication and booking services may process or store information outside Australia. The current countries and arrangements for each service, including business email and client records, remain to be confirmed before this draft is published. We do not claim that all information remains in Australia.

Ask us about the proposed recipients and overseas handling before providing sensitive information. Provider notices alone do not remove obligations that apply to our handling or disclosure of information.

07Cookies, browser storage and your choices

Authentication services may use cookies for authorised administrator sign-in. A session-storage hint controls whether to check for an administrator link; it grants no access. Calculators keep unsaved answers in page memory. Optional saved Victoria profiles use an HttpOnly access cookie: ordinary access expires after 12 hours, and Remember this device permits access for up to 30 days. An optional local-storage reference and expiry provide backup-reference autofill only, never proof of ownership. PINs, passwords and recovery codes are not saved in browser storage. The Forget this device control removes remembered access and the local reference without deleting the profile. Do not remember access on a shared device. Clearing cookies requires retrieval using your PIN and password, or your backup reference and recovery code. Older profiles can still use their existing reference and phrase.

No advertising pixel or session-recording tool is configured in the current website code. This is not a claim that hosting services, external fonts, review images or linked platforms collect no technical information or use no cookies.

When enabled, this website uses first-party, cookie-free aggregate measurement of public page views, consultation-link clicks and contact-link clicks. It does not load Google Analytics tracking scripts, set analytics cookies, create persistent visitor identifiers or fingerprint devices. It does not count identifiable people or reliably distinguish repeat visitors. Repeat page views and clicks count again; a consultation-link click is not a confirmed booking.

Our measurement receives a fixed public page path, a broad referral category, a broad device category and the position of a clicked link. URL query strings, fragments, destination contact details, calculator answers, saved-profile credentials, names, email addresses and phone numbers are not stored in analytics. The server may transiently use the connection IP address with a local GeoLite database to estimate city and country; it does not send the address to an external location service or retain it in the analytics database. Locations can be wrong or unknown. IP addresses may still be processed by hosting providers to deliver and secure website requests; this measurement description is not a claim that hosting or external services process no technical information.

Only independent daily totals are retained in the analytics database, not individual event histories or linked visitor profiles. City breakdowns with fewer than five page views in the selected report are grouped. Aggregate counters are retained for up to 25 months. Website measurement respects browser Do Not Track and Global Privacy Control signals and excludes private pages and recognised administrator activity. Our cookie-free measurement has no analytics consent popup; this notice is disclosure, not a claim that visiting constitutes consent. Separate authentication, saved-profile and external booking services retain their own necessary storage and privacy arrangements.

This product includes GeoLite2 data created by MaxMind, available from https://www.maxmind.com.

08Security and retention

The private website administration area has access controls. Security also depends on the services and processes used for email, registration, communications and client records. No website or communication method can guarantee complete security.

Victoria VPT scores can be reported without creating credentials. Reported scores, saved profiles and their calculation/report history are retained indefinitely, with no automatic expiry or inactivity-based deletion. A necessary HttpOnly reporting receipt lasts for up to 24 hours to prevent duplicate retries and allow optional saving in the same browser; it is not an analytics identifier and does not provide cross-device retrieval. Its expiry does not delete the report. Authorised iExcel staff can view reported details, while public comparisons remain anonymous aggregates. If you choose to save, a PIN and password protect the same report rather than creating a second submission.

There is no 30-day reconfirmation requirement for inclusion in community comparisons. Comparisons continue to separate program years, scoring rules, subclasses and eligible reported stages. Applicants should update details when their circumstances change; older self-reported information may not reflect current circumstances. Future program-year arrangements will be reviewed separately. Privacy requests, including requests about removal, use our public contact details. Temporary access sessions, reporting receipts and rate-limit records still expire for security; this does not remove the underlying profile. These controls reduce repeated submissions but cannot establish one report per person.

There is no self-service profile deletion button. Contact info@iexcelgroup.com.au for privacy or removal requests; ownership must be established before disclosure or changes. Recovery replaces the recovery code and revokes earlier browser access. Without a working credential or authorised device, we cannot promise to restore access. Removal from the active database does not necessarily remove copies already downloaded or copies subject to hosting backup retention.

The exact retention periods, storage providers and disposal procedures for enquiry, booking and client records have not been confirmed for this draft. They must be checked against the purpose of collection and applicable professional and legal recordkeeping requirements before publication.

If you ask for deletion, we must consider any obligation or legitimate requirement to retain relevant information. This draft does not promise immediate or unconditional erasure or unverified security certifications. The saved-profile expiry above is separate from professional client-record retention.

09Access, correction and privacy complaints

Email info@iexcelgroup.com.au to request access to or correction of personal information, ask about deletion, or raise a complaint. Describe the information or concern and provide a way for us to respond. Do not include unnecessary sensitive documents in the initial request.

We may need to reasonably verify your identity or authority before disclosing or changing records. Requests are considered subject to applicable law and recordkeeping obligations. If we cannot fulfil a request, we should explain the reason and any available next steps.

Please raise a privacy complaint with us first so we have an opportunity to respond within a reasonable time. If you remain dissatisfied, the Office of the Australian Information Commissioner provides information about complaints it can consider. Its jurisdiction and eligibility requirements apply.

10Changes to this policy

The approved policy should show its effective or last-updated date. Material changes to collection or use may require additional notice or consent, depending on the circumstances and applicable law.

This version is dated for preparation and review only. It does not establish a launch date, certify compliance or authorise new uses of personal information.
